Process

Step 1: Discovery Consultation

We start with a discussion about your practice’s needs, your management pain points, and your goals for the future of the clinic. We can then determine how we can best serve you and your practice.

Step 2: Complimentary Practice Assessment

After learning about your management goals, we will schedule a Complimentary Practice Health Checkup! The visit allows us to watch your day-to-day processes and gather information to develop a plan to reach your management goals. Please do not pause what’s going on at the practice for our visit, or choose a day that is “less chaotic”—we want to see both the good and the ugly!

We’ll take this time to observe your current workflow, processes, and synergy between team members, and collect information from your practice management system. We’ll also spend time with each team member, in between duties, to get their feedback and suggestions for what they would like to see improved.

Step 3: Analysis and Recommendations

After our in-hospital visit, we will begin preparing our analysis of your business operations from head to tail!

We will then set up a meeting with you to present our assessment, your recommended Practice Treatment Plan, and how to implement the solutions. You may choose to implement them on your own or hire the VetCircle operations team to do the heavy lifting for you.

If you’d like to go forward with your custom VetCircle Services Package, we will sign an agreement and get started on reaching your vision together!

Step 4: Team Discussion

Your team is the heart of your practice and critical for our comprehensive approach to meeting your management goals. We will hold a staff lunch meeting to introduce ourselves, ask questions, and gather your team’s thoughts to get them on board with the process. After all, who would be better than your team members to ask for feedback and suggestions to improve your practice?

After the staff meeting, we will break off into 1-on-1 meetings with each team member and ask them for their input on what could be improved. That way, each team member gets to be a part of taking your practice to the next level!

Step 5: Implementation of Services

Taking your practice to the next level requires a lot of planning, preparation, hard work, and time to implement, but not to worry, you’ve hired the VetCircle team to get things done in a timely manner!

Our team of qualified veterinary professionals (DVM, RVTs, Managers) will roll up our sleeves to work alongside you in your practice and implement the services on your Practice Treatment Plan. Our team will handle the heavy lifting for you by planning, training, documenting, and implementing your new workflow, processes, streamlined roles, and software tools!

We can’t wait for you to tell us you feel so much more organized and productive in your roles!

Step 6: Self-Sufficient Practice

We are strong believers in both providing you with tools to maintain the new processes and giving your team the confidence to improve things further for continued success. As we are implementing our services, we will be “training the trainer” (your hospital team members), so they can teach new team members who join your practice. We will also be providing you with all of the finalized protocols, onboarding documents, SOPs, and “How To” documents to ensure that any new team member joining your practice will get proper onboarding and guidance on how to do things your hospital’s way!
